How to Navigate Venue Selection in a City Known for Iconic Event Spaces
When there are more iconic event spaces than you can count on your fingers and toes, there’s a challenge that you have to face: where do I go and what do I do? If choices abound, there are many things that you have to consider, from style to what services are available; there’s much that you have to work through.
Iconic event spaces are hard to find, but if you have them in surplus, it makes it difficult to sort through them and choose. Here’s what you need to consider when navigating venue selection when you are working somewhere that is known for iconic event spaces.
Find Your Style
One of the things that you have to heavily consider is what your style of event is. Are you looking for something that is more stately? Or, are you perhaps looking for something that has a preppier look to it?
Finding your style and sticking to it is a challenge because you also have to consider how you are going to get decorations into the event and maybe even plants or sound systems. There’s much that you have to take into consideration!
Size of the Venue
When you are looking into your event style, something that you also have to take into consideration is going to be the size of the venue. With the size of the venue, it has to be appropriate for the number of people that you are going to have at the event.
This is where you run estimates based on how quickly people are signing up for your event. You can use this rate as an estimate, but understand that you may get an influx of people when it is closer to the event. Estimate a little high and go from there. Just remember, you don’t need an event location the size of a stadium when you can use a meeting room.
Stick to Your Budget
Now, style is definitely important. It is something that you have to have in order to fit the theme of your event. There’s always a catch, though: what is your budget? You may have sponsors and donors who are going to help boost your budget. That’s great!
Keep in mind that there are multiple ways that you can adjust your budget with decor and any additional items you add to your marketing. The biggest concern, though, is making sure that your event space doesn’t take over your entire budget.
What Technology is Available
One of the interesting parts of having so many options and iconic locations is that there are different technologies that are available that you may or may not have access to. This is going to be a massive deciding factor in your event.
Do you need AV equipment? How about the internet? Number of plugs for lighting? Spaces for integrated virtual reality? What are you going to need technology-wise for your event space? If the event space that you have chosen doesn’t have that particular technology that you need, are there ways that you can get that technology there? These are the kinds of questions that you need to be asking yourself when looking at iconic locations.
Reputation and Ratings
There are several ways to look at the word reputation when it comes to iconic event spaces. What sort of reputation does the event space hold in the community? How does the reputation of the space seem to be viewed in society? And finally, what kind of reputation do the event space owners have? Are things going to be difficult to work through or are they going to be easier?
A great way to look at this is through ratings and seeing what the scuttlebutt is. X, Facebook, Instagram, Google Reviews, these are all great ways to see just how this iconic venue is going to align with the standards and goals of the event that you are putting together.
Bring it Together
Something that you have to stop and consider is how to bring all of this together. Usually, I like to have a kinetic way of sorting through information by using sticky notes. Then you manipulate the sticky notes based on what is most important to what is least important for you and the event that you are running.
